Many email providers have an inbuilt tool that will handle all this for you.
Fastmail, for example. I switched to them 4-5 years ago, and the process of migrating over a decades worth of mail was straightforward and pretty quick.
A place to share alternatives to popular online services that can be self-hosted without giving up privacy or locking you into a service you don't control.

Cheers. Ill have a look . I suspect we will just be using a hosting providers email rather than dedicated email service. (Ideally Id like to run own email server but I have heard that can be a real struggle to keep emails being delivered)
Hosting your own email server is a challenge, as DMARC, SPF and random hand waving by email companies (who should know better) make it needlessly problematic.
There's also the issue of whether your home ISP allows inbound email ports (25/tcp, etc). A lot don't.
It's possible(?) a hosting provider can do decent email, but I tend to think of that like 1990s-era ISPs who provided email: liable to be discontinued at any time with little/no notice and not portable.
But it's your call. Good luck.
Yeah . I dont think we will move their primary.email addresses from Gmail but mainly use their accounts for identity purposes with self hosting and backup / storage of emails rather than paying Google.
Who knows though ..I meqn on q VPS im using an email server at moment to collaborate work with friends. It wouldn't be mission critical .. just family critical.
I have been planning on migrating to Proton (I know, wrong community) and this could very well be the year. Just 2 gmail and 1 hotmail address/inbox to migrate but would love to follow the tips given here.
I have some questions to specify your case:
I don't use tags alot and neither do the users I would migrate
I am not sure if this is possible but at the moment they just have gmail accounts but would move to a email with a custom domain - Im tempted to use Yunohost but worried about running my own email server and the responsibility that would come with that but also the size of the email accounts, Id also prefer that Yunohost had scheduled Backups to an external location in place.
Never heard of yunohost, but... definitely not worth managing your own email server. That shit is essentially a full time job. And it's forever ongoing full time job, with 24/365 on call type job if emails are mission critical. Doesn't matter how much other hosts are charging, it's worth using third party email service.

Totally agree. No fun being a small guy in a dugout and a rifle when the spam and malware arms race is bombing you with nukes.
